Solutions Built to order
One-List Inventory
One list of what you have for sale, where it is posted, and what must come down when it sells.
Built to order: set up around the way your business already works.
The gaps
- No single list of what is in stock
- Nobody knows every place an item is posted
- A sale on one site does not reach the others
- Sold items stay posted and get bought twice
- Stale postings are found by accident
See how it works
A working example with sample data; nothing you do here is saved or sent. Your version is built to order: your name, your services, your rules.
The situation
An online seller posts one-of-a-kind items on three marketplaces and a personal site. Stock lives in a spreadsheet that gets updated when there is time. When an item sells on one site, the others keep showing it until someone remembers to take it down.
The plan
- Objective
- An item that sells comes down everywhere else the same day: automatically where a marketplace allows it, and by checklist where it does not.
- Who uses it
- The seller, and anyone who helps post or pack.
- What it replaces
- The spreadsheet, and the memory test after every sale.
What changes
| What | Today | With the solution |
|---|---|---|
| Stock list | A spreadsheet, updated late | One list that every sale updates |
| Where it is posted | Remembered | Every posting linked from the item |
| After a sale | Taken down everywhere by hand | Removed automatically where possible, and a checklist with links for the rest |
| Selling twice | Found out from the second buyer | A daily check flags postings that should be down |
| Records | Scattered across sites | What sold, where, and for how much, in one place |
What gets delivered
- An inventory list with photos, quantities, cost, and storage location
- A posting tracker: every place each item is listed, with links
- One-step sale entry that updates quantities
- A removal checklist with a direct link to each posting
- Connections to the marketplaces that offer sellers an official one
- A daily check for stale postings, with an email summary
- A sales record you can export as a spreadsheet file
- A written guide
The phases
Phase 1
The list and the posting tracker
Every item entered once, with each of its postings linked.
Phase 2
Sales and removal checklists
Record a sale, get the list of postings to take down, tick them off.
Phase 3
Marketplace connections
Automatic updates for the marketplaces that approve a connection.
Planned next
Intended, not included yet.
- Selling directly from the list: a page for each item and a checkout, for buyers who come to you without a marketplace
- Shipping charged from a short table of flat fees by package size
- A tracking number on each sale, with a link the buyer can follow
What it leaves out on purpose
- Writing and publishing the postings themselves.
- Shipping labels.
- Bookkeeping beyond what sold, where, and for how much.
Outside services and costs
Automatic removal depends on each marketplace. Some offer an official connection that sellers can apply for. Some offer none to individual sellers. Where there is none, the app does not pretend: it hands you the link and tracks whether the posting came down. It will not sign in to a marketplace on your behalf in a way that breaks that marketplace’s rules.
How we will know it works
- Items sold twice
- Time from a sale to the last posting coming down
- Postings still up after the item is gone
Questions people ask
Which marketplaces can it remove postings from automatically?
Only the ones that give sellers an official connection, and each one has to approve it. For the others the app gives you a checklist with direct links. We confirm which is which for your marketplaces before building.
Why not sign in to every site for me?
Tools that sign in as you can break a marketplace’s rules and put the account at risk. This one will not.
Does it create the postings too?
Not in the first version. It tracks them.
Is it an online store?
Not in the first version. It is the one stock count behind your marketplace accounts. Selling directly from the list is planned as the next step.
