Built to order: set up around the way your business already works.

The gaps

  • The services on the website are not the services that get quoted
  • Customer details live in a phone, an inbox, and a notebook
  • Every estimate is typed from scratch and priced from memory
  • No record of which estimates were sent, seen, or accepted
  • Follow-ups depend on someone remembering

The situation

A remodeling contractor has a brochure website and a phone full of contacts. Leads arrive by call, by form, and by referral. Estimates are typed from scratch in a document, priced from memory, and emailed as attachments. Nobody is sure which estimates went out, which were accepted, or who was supposed to follow up.

The plan

Objective
One list of services drives the website, the estimate, and the customer record, so an estimate goes out the day the customer asks.
Who uses it
The owner and the office handle leads, estimates, and follow-ups. Customers ask for an estimate, read it, and accept it.
What it replaces
The estimate template document, the contact list in the owner’s phone, and the sticky-note reminder.

What changes

WhatTodayWith the solution

What gets delivered

  • A website in English and Spanish: home, services, a page for each service, about, and contact
  • A service list you edit yourself: name, description, unit, and your price
  • An estimate request form that carries the chosen services and the customer’s contact details
  • A customer list: contacts, notes, and the services each one asked about
  • An estimate builder: lines from the service list, quantities, adjustments, and notes
  • Estimates sent by email with a private link, where the customer can accept or ask a question
  • A status for every estimate: draft, sent, viewed, accepted, declined
  • Follow-up reminders and a simple view of every open estimate
  • One training session and a written guide

The phases

  1. Phase 1

    Service list and website

Your services entered once, and the website pages built from them.

  2. Phase 2

    Leads and the customer list

The estimate request form and a record for every customer.

  3. Phase 3

    Estimates and sending

The estimate builder, the email, and the customer’s private link.

  4. Phase 4

    Follow-up

Statuses, reminder dates, and the list of open estimates.

What it leaves out on purpose

  • Invoices, deposits, and payments.
  • Material takeoffs and supplier pricing.
  • A signed contract. Accepting an estimate records who accepted and when. Your contract stays your own document.

Outside services and costs

None required. Estimates are sent by email from your own hosting. Text-message notices would add a service that charges per message, if you want them.

How we will know it works

  • Time from a request to a sent estimate
  • Share of estimates with a recorded answer
  • Follow-ups done on the planned date

Questions people ask

Do my prices show on the public website?

Only if you choose. The service list holds your prices privately, and each service can appear on the website with or without a price.

Can I change an estimate after sending it?

Yes. The customer’s link always shows the latest version, and the record keeps the earlier ones.

Does it replace my accounting software?

No. It stops at the accepted estimate. Invoicing stays where you do it today.

How you get yours

Every tool is delivered built to order for the business that will use it.

  1. See how it works

Open the example closest to your gap and walk through it with sample data.

  2. Tell us what is different

Your services, your rules, and the steps your office already follows.

  3. We build your version

Your name, your colors, your wording, in English and Spanish if you need it. Before work starts you see the plan, the price, and the revisions agreed.

  4. It runs on your hosting

Your data stays in your own database, with no monthly software fee. Changes later are a new request.
