Built to order: set up around the way your business already works.

The gaps

  • One person fronts the bills and chases everyone else
  • Nobody is sure what they still owe this month
  • Payment screenshots are scattered across chats
  • Extra payments and credits are tracked from memory
  • No record of who confirmed what, or when

See how it works

A working example with sample data; nothing you do here is saved or sent. Your version is built to order: your name, your services, your rules.

House billsInteractive example. Sample data.

The situation

Several people share a house and its bills. One person pays the providers and collects everyone’s share. Without one place to look, that person chases payment screenshots in a group chat, and nobody is sure what they still owe this month.

The plan

Objective
Everyone sees the month’s bills and their own share, and every payment is confirmed against a receipt.
Who uses it
One bill manager, who enters the bills and confirms payments. Members, who see the shared bills, their own balance, and their own payments.
What it replaces
The group chat, the spreadsheet, and the mental math at the end of the month.

What changes

WhatTodayWith the solution
The month’s bills A list in one person’s head Every bill for the month, with each person’s share
What I owe Ask the person who pays Your balance on your own screen
Paying A screenshot sent in a chat A recorded payment with its receipt, waiting to be confirmed
Confirming Scrolling back through messages The manager confirms or rejects each payment, and it is logged
Paying extra Remembered, maybe Kept as credit and applied to later bills

What gets delivered

  • Monthly bills with a share for each member, and recurring bills carried into the next month
  • A balance for each member, and a “who owes what” view for the manager
  • Payments recorded by members with the method, a reference, and a picture of the receipt
  • Confirm, reject, reverse, and restore for the manager, each action logged
  • Extra payments kept as credit and applied to later bills
  • A reserve ledger only the manager sees
  • Invitation links, with each person’s permission to be emailed on record
  • A reader that pulls the amount and due date from a bill picture or PDF, for the manager to check before saving
  • A home-screen icon on a phone, like an app

Planned next

Intended, not included yet.

  • A shared shopping list
  • Maintenance requests
  • A private bill tracker for each member: due dates, paid dates, amounts, and confirmation numbers

What it leaves out on purpose

  • Moving money. Payments happen however the house already pays, and are then recorded and confirmed.
  • Connections to bank or card accounts.
  • Several households in one copy. Each household gets its own.

Outside services and costs

None to pay for. Email goes out through the hosting account’s own mail. The bill reader loads its reading tools from a public library the first time it is used; the bill itself is read on your device and is not uploaded.

How we will know it works

  • Months in which every share is confirmed
  • Payments waiting for the manager
  • Questions to the manager about what is owed

Questions people ask

Does it move money between people?

No. It records payments made the usual way and lets the bill manager confirm them. The transfer itself happens outside the tool.

Can members see each other’s payments?

No. Members see the shared bills and their own payments and receipts. Other people’s payment details and the reserve stay with the manager.

Why is a household tool on a business site?

It is a small, complete tool we run ourselves. Its parts (sign-in, invitations, receipts, a confirmation step, and a log of every action) are the same parts the business tools use.
